1. Who we are

Blyvon Books is a bookkeeping platform operated by Blyvon, N92, Mayfield Garden, Sector 51, Gurgaon, Haryana, India (“Blyvon”, “we”, “us”). It is an internal platform used by Blyvon’s staff to keep the books of the firm’s business clients, and by those clients’ invited reviewers through the client portal. It is not a service offered to the general public.

This policy explains what data the platform reads and stores, why, how it is protected, and what rights people have over it.

2. What data we read and store

  • Ledger data from a client’s QuickBooks Online or Xero company, once an authorised person connects it: accounts, transactions, contacts, bills, invoices, reports and attachments.
  • Email from the mailboxes (Gmail or Microsoft Outlook) that the firm connects, so that client messages can be sorted, answered and linked to the right client.
  • Files that are uploaded, such as receipts, bills and bank statements, and the reports and packages the platform produces.
  • Account data of staff and client reviewers (name, email address, role, assignments), and sign-in and audit records (who did what, and when).

3. Why we use it

We use this data only to provide and secure the service: categorising transactions, reconciliation, month-end close, reporting, communicating with clients, and keeping the platform safe. We do not use it for any other purpose.

4. How it is protected

  • Data is encrypted in transit.
  • Access tokens for QuickBooks Online, Xero, Gmail and Outlook are encrypted at rest, and application secrets are kept in a managed secret store, not in the code.
  • Access is role-based: the firm’s Owner can see all clients, every other staff member only the clients they are assigned to, and client reviewers only their own company.
  • Staff and reviewers sign in with two-factor authentication.
  • Important actions, including changes to client ledgers, are recorded in an audit log.

5. Where data is hosted

The platform is hosted on Google Cloud in the United States. Data is stored there, in databases and file storage.

6. Service providers and connected services

These parties process data on our behalf, only as needed to run the service:

  • Google Cloud for hosting and storage.
  • Anthropicfor AI processing of the text and files needed for the platform’s features: transaction details and ledger report figures, bills, receipts and bank statements (sent as documents), and email text and drafted replies. It is used, for example, to suggest a category, read a bill, label an email, draft a reply or write report commentary, all for staff to review.
  • Slack for notifications to staff, when this is enabled.
  • Intuit (QuickBooks Online), Xero, Google (Gmail) and Microsoft (Outlook)are the connected services themselves. Data we read from them, and any change approved in the platform (by a person, or by an automatic posting rule that the firm’s Owner or a manager has switched on), passes between the platform and that service.

We do not sell personal or business data and we do not share it for advertising. We do not use client data to train AI models, and our AI provider does not use data sent through its business API for training.

Blyvon Books’ use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

7. Retention

We keep data while the client relationship is active and for as long as accounting records must be kept. On a written request to info@blyvon.com, our team deletes or returns a client’s data, subject to legal record-keeping duties; we handle such requests by hand and aim to complete them within 30 days. Deleted data can remain in backups and logs for up to 30 days before it is overwritten.

Disconnecting. In the platform, the firm’s Owner or the client’s assigned manager can disconnect a QuickBooks Online company, which asks Intuit to revoke our access and deletes the access tokens we hold; they can likewise disconnect a Xero organisation, which deletes our tokens and asks Xero to remove that organisation’s connection. A connected mailbox (Gmail or Outlook) or Slack is disconnected on request to info@blyvon.com, after which its stored tokens are deleted. You can also revoke our access at any time from your QuickBooks Online, Xero, Google or Microsoft account settings.

8. Your requests

You may ask us for access to the personal data we hold about you, to correct it, or to delete it. Write to info@blyvon.com. We may need to confirm who you are first, and some records must be kept to meet legal duties.

9. Changes to this policy

We may update this policy. The date at the top shows when it last changed. If a change is significant, we will tell users of the platform.
